Artificial Intelligence Usage Policy of the Journal of Librarianship and Information Organization Studies

With the development of artificial intelligence technology and its application in various fields, especially in research and publishing, the importance of addressing its academic and ethical aspects becomes increasingly significant every day. Therefore, scholarly journals find it necessary to draw the attention of researchers and manuscript authors to the policy regarding the potential use of artificial intelligence in preparing their manuscripts, as outlined below:

Authors are obliged to transparently declare any use of artificial intelligence (AI) tools in the research, writing, or editing process of their manuscript in the 'Methods' section or the 'Artificial Intelligence Usage Statement' section of the manuscript."

Guidelines:

1) AI tools and assistive technologies should only be used to improve readability, linguistic quality, and preliminary data analysis (if mentioned in the research method).

2) These tools must be employed under full human supervision and control. Authors are required to carefully review and edit any content generated by AI; because the output of these tools may appear valid but could be incomplete or inaccurate. The ultimate responsibility for the accuracy, originality, and quality of the article's content lies with the authors.

3) Authors must ensure that the use of AI tools does not lead to the violation of intellectual property rights, plagiarism, or the use of unauthorized data.

4) AI tools should not be listed as an author or co-author; because authorship entails duties and responsibilities that can only be performed by natural persons.

5) The use of AI to generate fabricated content, including fake data, incorrect citations, or manipulated images, is strictly prohibited, unless it is part of the research method and explicitly stated in the manuscript. In such a case, the tool used, its version, and its developer must be specified.

6) If AI tools are used, the name of the tool, its version (if available), and its developer must be mentioned (example: "Grok, version 2.0, developed by xAI").

7) Authors are required to refrain from providing any confidential, personal, or sensitive data to AI tools (e.g., ChatGPT) and must ensure that data usage complies with ethical principles and privacy protection.

8) Confidential, personal, or sensitive data includes: user identity information, borrowing records, search queries, user conversations with helpdesk systems or chatbots, images and archival documents containing personal information, demographic data such as age, gender, or place of residence of individuals, and the like.

9) The use of AI to create or alter images is not permitted, unless it is part of the research design or method. In such a case, the tool used, its version, and its developer must be mentioned in the "Methods" section.

Statement on the Use of Artificial Intelligence

"In the preparation of this manuscript, [name of tool, version, and developer, e.g., Grok, version 2.0, developed by xAI] was used for [reason for use, e.g., improving writing]. The authors have reviewed and edited the generated content and assume full responsibility for the final content of the manuscript."

 

Additional Notes

  • The use of AI tools for checking grammar, spelling, or references does not need to be declared.
  • If AI was not used, there is no need to add the above text.
  • If there is any ambiguity regarding how to use AI tools or their compliance with the journal's policies, authors can raise the issue through the "Contact Us" section.
  • Failure to adhere to the aforementioned points constitutes a scientific misconduct and will be pursued in accordance with the journal's scholarly standards.
